The Church Office Administrator serves as the central administrative hub of River Road UMC, ensuring the smooth and efficient operation of church office functions. This role supports the pastoral staff, ministry leaders, and congregation by providing professional administrative assistance, maintaining accurate records, managing communications, and overseeing daily office activities with a spirit of service and hospitality.

The ideal candidate is highly organized, detail‑oriented, tech‑savvy, and proactive, with excellent interpersonal skills and a strong commitment to the mission and values of River Road UMC.

Key Responsibilities

1) Administrative Support

  • Provide comprehensive administrative support to the Lead Pastor, ministry leaders, and staff, including scheduling, correspondence, and meeting preparation.

  • Manage and prioritize incoming communications (phone, email, mail), directing inquiries appropriately.

  • Prepare and format church documents, including bulletins, newsletters, announcements, reports, and presentations.

  • Maintain organized physical and digital filing systems, ensuring confidentiality and accessibility.

  • Order and manage office supplies, equipment, and inventory.

  • Assist with special projects and events as assigned.

2) Financial and Record Keeping

  • Process incoming mail, including donations and invoices; prepare for deposit or accounting.

  • Maintain accurate membership, contact, and attendance records in church management software (for example, Church Teams).

  • Assist with expense tracking and budget monitoring in coordination with the Treasurer and Finance Committee.

  • Ensure accurate and timely data entry.

3) Communication and Public Relations

  • Serve as the primary point of contact for visitors, members, and the community, offering a welcoming presence.

  • Manage church calendars and facility scheduling, ensuring clarity and avoiding conflicts.

  • Oversee preparation and distribution of weekly bulletins, monthly newsletters, and other mass communications.

  • Coordinate internal and external communications such as email blasts, social media posts, and mailings.

4) Office Management and Coordination

  • Oversee maintenance and basic troubleshooting of office equipment (copiers, printers, computers).

  • Coordinate with vendors for office services and repairs.

  • Train and supervise office volunteers as applicable.

  • Maintain a clean, organized, and professional office environment.

5) Pastoral and Ministry Support

  • Assist with worship service preparations such as printing materials, arranging communion supplies, and coordinating volunteers.

  • Provide administrative support to ministry teams, including Youth and Children’s Ministries.

  • Help recruit and coordinate volunteers for church events and ministries.

Qualifications

Education

  • High school diploma required.

  • Associate or bachelor’s degree in Business Administration, Office Management, or a related field preferred.

Experience

  • Three to five years of progressively responsible administrative or office management experience, preferably in a church or non‑profit setting.

Technical Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), QuickBooks, and Canva required.

  • Experience with church management software (for example, Church Teams) strongly preferred.

  • Strong typing and data entry accuracy.

Working Conditions

  • Primarily based in a professional office environment at River Road United Methodist Church.

  • Regular office hours: Monday through Friday, 9:00 am to 4:00 pm (no regular evening or weekend hours).

  • Flexibility may be required during peak seasons such as Christmas and Easter.

  • Ability to sit for extended periods, work on a computer, and occasionally lift up to 25 pounds.
